APPLICATION HOSTING

Is my data secure?

Your Claromentis Xpress instance will be hosted on one of our application servers in a secure data centre in the UK

Is the hardware included in the monthly fee?

Yes, it is. The hardware fee is included in your monthly payments.

On what platform will Claromentis Xpress be hosted?

Claromentis Xpress server will be running on UNIX/Linux running Apache Web Server and MySQL database.

Can I use my own domain name as the URL?

Of course you can. We will provide you with the name servers, so you can point your domain to our server which will be hosting your Claromentis Xpress instance.

DATA STORAGE

Is my data secure ?

The server which will hosts your Claromentis Xpress instance will have all the necessary security protections and firewall. For an additional fee, you can also request for SSL (Secure Socket Layer) encryption to be enabled.

How much space do I get?

A total of 30GB will be allocated for your instance; some of this is used for your online backup.
We will not restrict how you should be using this space. Some clients will use most of their space for their online documents; some use most of their allocated space for online web mail. This will be up to you, as long as you stay within the allocated quota.
If further down the line, you find that you require more than 30GB, you can buy additional disk space in 5GB increments.

What about backup?

Your Claromentis Xpress instance will be backed up weekly. The cost for this is included in your monthly fee. The backup will be stored online, as well as copied to another server for redundancy.
You can purchase an additional option of daily backup, where up to 5 consecutive days backup will be stored, prior to being overwritten. Please note that the space for the online backup will be counted against your total allowable quota.

I have outgrown my quota. What can I do?

If further down the line, you find that you require more than the original 30GB quota, you can buy additional disk space in 5GB increments.

TIMEFRAMES

How long does it take to get started?

After completing the initial online form we contact you to confirm details and make sure everything is clear. You then sign up on our online payment form. A standard installation can be ready for use one full business day after the payment has been authorized.

FUNCTIONALITY

What do I get?

You can use Claromentis Xpress for full document management and Intranet extranet functionality, for Sales Opportunity Management CRM, and for content management of external websites. Or for any one or more – many clients begin with just one aspect and grow over time as requirements change. You can fully customise the look and fell of Claromentis Xpress with your logo and corporate colours & fonts.

How is Xpress different to the full Claromentis?

Claromentis Xpress is an easy to use slimmed down version of the full Claromentis functionality. A table of exactly the difference is included on the website is avilable here

Can I create an external website as well as an Intranet?

Yes you can, Claromentis Xpress can manage as many as 5 content managed websites.

What if I have a website already?

The decision you will need to make is whether you wish to
• Improve or replace the design and make it content managed from Claromentis
• Keep the design and enable content management from Claromentis
If your decision is the latter then we need to review your existing site, which we do at no charge, to advise you of the possibilities.

Can I create extranets?

Yes extranets are fully available and very easy for you to set up and control. These are normally used for partner access, keeping the users separate and easily allowing you to maintain separate documents such as price lists.
If you provide access to partners their own logo will also be displayed next to your own.

What is the maximum number of users for Claromentis Xpress?

Actually there is essentially no limit, but the most we will quote for automatically is 250 user systems, as we prefer to discuss in depth your infrastructure and backup requirements above this limit.

Can I get my Opportunity Management customised to fit my process?

Yes you can – there is no charge for us setting up the following as part of the set up process as needed:
• Stage Names
• Strong Stages
• Valid stage transitions – the workflow between stages
• A territory
• A project
• Set up of document templates for Sales Manager

Can I still get additional services if I take Xpress as opposed to Claromentis?

Yes you can, in fact there are a range of services you might like to consider, including design and development where needed.

UPGRADING TO FULL CLAROMENTIS

Can I upgrade my Claromentis Xpress instance to full Claromentis?

You certainly can. All of your data can be migrated to the new full Claromentis, and you will receive a considerable discount on the list price if you have been a Claromentis Xpress customer for one year or more.

Can I transfer my existing data if I do upgrade?

Yes you can. Transfer to a full Claromentis using the same MySQL database is free, conversion to either Oracle or MS SQL carries a small fee depending that we will be pleased to quote for on request.

Do I get any credit towards the full Claromentis if I upgrade?

If you have been a Claromentis Xpress customer for one year or more, you will receive a 30% discount on the relevant Claromentis cost when you upgrade.

SUPPORT

What support do I get?

You'll be provided with a Quick Start guide. Each application has a link to online video tutorials outlining all major tasks.
In addition for the first 14 days you get full telephone support and then full email support is provided.

Can I get additional training/consultancy?

You can request for our training/consultancy team to help you get the most out of Claromentis functionalities. Please contact sales@claromentis.com for details.

PAYMENT

How do I pay?

You pay online using credit or debit cards. On receipt of a purchase order larger companies can also be invoiced monthly

What do I pay?

You pay monthly according to the number of users. There is an initial set up fee of one months cost. Monthly fee will be charged at the beginning of each usage month.
You may request additional optional work such as design services, if you do the cost will be clearly explained to you.

Can I get additional training/consultancy?

You can request for our training/consultancy team to help you get the most out of Claromentis functionalities. Please contact sales@claromentis.com for details.

What defines a ‘user’?

A user is a person who has access through an individual username and password. In some cases they will be the number of staff in your company. However if your only reason for using Claromentis Xpress is to create and edit an external website, then you only need accounts for editors.

Can I reduce or increase the number of users of the system?

Yes you can cancel at any time, with no penalty.

Can I reduce or increase the number of users of the system?

Yes you can, simply email support@claromentis.com. You will be charged only for the maximum number of users in any month.

Will I be charged VAT?

Yes all prices quoted throughout the site are subject to standard rate VAT.

CANCELLING MY SUBSCRIPTION

How do I cancel my subscription?

To cancel your subscription, please send an email to support@claromentis.com. If you cancel in the middle of your prepaid usage month, no refund would be made for the remainder of the month.

What do I need to do prior to canceling my subscription?

Make sure you have taken a copy of your online documents stored within Claromentis Xpress. For data protection and security reason, after your account has been closed, we will purge your data from our servers completely.

Can I get a copy of our automatic backup?

This backup will be of no use to you, as it can only be restored to Claromentis instance, and is not usable/readable on its own. That is why we request that you take a copy of your online documents prior to closing your account.
